Background

Community-based organizations rely heavily on accurate data to evaluate program effectiveness, measure community impact, and communicate outcomes to stakeholders. Casa San José collects a significant amount of operational and program data through platforms such as Salesforce, Dialpad, and Google Sheets. However, transforming this information into clear insights and presentation-ready reports can be challenging without structured analysis and visualization systems.

This project aimed to strengthen Casa San José’s data reporting capabilities by analyzing internal operational data and developing professional visualization materials that highlight the organization’s impact. By improving reporting workflows and automating certain analytical processes, the project helps Casa San José better communicate program outcomes and manage internal performance metrics.

Project Details

Our team collaborated with Casa San José to improve both internal analytics and external impact reporting through two main workstreams.

Workstream 1: Salesforce Employee Evaluation

  • Analyzed employee activity data stored in Salesforce and Dialpad to evaluate operational performance.
  • Characterized key metrics including number of cases handled, call volume, callback frequency, and client response ratings.
  • Examined trends in new client cases, returning clients, and case management workload.
  • Developed automated calculations for key operational metrics to streamline future performance reporting.

Workstream 2: Data Presentation of Events & Key Metrics

  • Designed professional data visualizations and dashboards to communicate impact from major Casa San José events such as Backpack for Kids and the Community Holiday Party.
  • Analyzed event data including registrations, volunteer participation, and supply distribution.
  • Created visualizations highlighting metrics such as volunteer density, rapid response activities, and geographic engagement patterns.
  • Developed automated workflows for generating dashboards and visual reports to ensure consistent presentation of impact metrics for future events.

Outcomes

This project enhanced Casa San José’s ability to analyze operational data and communicate its community impact through clear, professional visualizations. By automating metric calculations and developing accessible dashboards, the organization can more effectively evaluate employee activity, track program outcomes, and present meaningful impact data to stakeholders, funders, and community members.
